Meeting Minutes

May 25, 2009

 

 

Opening:        

The AGM meeting of the North Frontenac Little Theatre was called to order at 7:00pm on May 25, 2009 in the Tichborne Hall by John Pariselli.

 

Present:         

About 30 people were present for the potluck and meeting.

A.        Approval of Agenda

The agenda was unanimously approved as distributed.

 

B.        Approval of Minutes

A motion was put forward to accept the minutes of the previous meeting by Dawn Hansen, 2nd by Lynda Boulter and was unanimously approved as distributed.

 

C.        Open Issues

TREASURER REPORT

Report provided by Claire Graves.  See attached sheets with a balance sheet and breakdown of past productions.  Claire noted that from the useable money in the bank account NFLT has yearly expenses of $2500.00 and project promised money of approx. $7000.00.  Claire also noted that NFLT has completed all projects for the Trillium Grant and a report has been sent by John Pariselli to Trillium.

A motion was put forward to accept the treasurer report by Pamela Giroux and 2nd by Danielle Harding and was unanimously approved.

 

PETER PAN REPORT

Report provided by Sally Angle.  See attached sheet.  Sally noted that this type of production was the first of its kind and was a great experience for the kids and all involved.  She commended Danielle Harding for a job well done and for being ambitious by giving the large number of children who turned out for auditions about 70 all to participate. The production was very successful, with a profit of $1600.00.  The expectation for attendance was about 300 people and had a turnout of 530 and was turning people away at the door.

 


 

OPENING NIGHT REPORT

John Pariselli reported on Nina Jenkins behalf.  The production was successful with a profit of $2300.00.  The dinner theatre was perhaps our last with the retirement of Dianne Lake at the High School.  This was Doug MacIntyre’s first time directing and did a great job.

 

A MIDSUMMER NIGHT’S DREAM REPORT

Report provided by John McDougall.  The production was a huge success with a profit of $3000.00.  Some suggestions for the future would be to have some money budgeted for house manager and a contact list to pass on from show to show. 

 

TICKET PRICES

Discussion took place about offering a performance at a ticket price of $5.00 for students.  This was offered for the A Midsummer Night’s Dream and was very successful.  Lynda Boulter likes the idea and thinks it is great for the community and to keep the youth involved.  Sally Angle noted that she knows young people who came from out of town because of the offer.  Doug MacIntyre noted that with the profit NFLT is showing the ticket prices are working and to evaluate as productions continue.  Sarah Hale suggested that this suggestion should be determined by each production and what attendance is required.

 

TRILLIUM GRANT

The Trillium Grant for the building repairs are now complete and the report has been sent by John Pariselli to the foundation.

 

COSTUME UPDATE

Report provided by Lynda Boulter.  Lynda’s basement is beyond full and would like for the costumes to be moved to the hall.  Thousand Island Theatre have provided NFLT with a guide line of what is required to store the costumes.  Very dry, lots of air circulation, no dampness, heat is not required.  Peter has sent a letter to the executive with a cost and what is necessary before the costumes can be brought to the hall.  Lynda would like to be the one to organize and move the costumes herself once the renovations have been completed.  Lynda also noted that we have been lending costumes to various groups at no charge and have received either a monetary contribution or costumes in very good condition in return.

Lynda is looking for  top hats and tiaras to complete some collections; please contact her if you have any.

 

LIGHTING INVENTORY

Report provided by Claire Graves.  Every year they go through and organize all the lights and cables.  This year everything was accounted for but they require some good extension cords approx 4 about 12ft in length with twist locks.  They also need a labeling system for about 55 to 60 cords to attach on both ends.  Current labels do not stay on.  Current head sets also need to be looked at, as they did not work properly for the last production.  Claire and Bernie are looking for someone to come to us to help set lights and train people on the board.  Jeff Siamon has volunteered to help with lights.  Jeff can be reached at 613-279-3259 or email at jeff@siamon.ca.

 

CURTAIN INVENTORY/ BLACKOUT CURTAINS

Inventory of all the curtains have been completed and all were found.  They are now labeled and in containers.  Blackout curtains would be very helpful for both the little theatre and the school.  They are currently at the school as they have requested to use them for prom and coffee house. 

 

MAKEUP REPORT

Inventory of the makeup has been completed, sorted and in cases ready for use.  If anyone wishes to make their own kit a list of inventory is available thanks to Deborah Spaar-Mueller.

 

SUGGESTED PLAYS FOR THE NEXT TWO YEARS

 

There was an open discussion on plays listed on the agenda as well members were encouraged to suggest others plays they felt suitable for North Frontenac Little Theatre to perform.  Doug MacIntyre presented a brief synopsis of Beyond Reasonable Doubt see attached.

Motion 2nd by Danielle Harding.  Motion passed unanimously.

 

HALL UPDATE

Many projects have been completed and are great additions to the hall.  Most recently a cleanup crew have cut down and removed trees.  The next steps required is the costume room and brush removal and grounds beautifying and to make the front entrance way more functional and attractive.  John McDougall volunteered to organize the costume and grounds Committee, Danielle Harding and Brian Robertson offered to help.  John Pariselli volunteered to organize the Front Entrance Committee, Claire Graves and Pamela Giroux offered to help.

 

USES OF HALL

The hall would like to be used for the following activities: Yoga classes once or twice a week, John Pariselli would like to organize a movie night, Barb Girard would like to organize a games night, Danny Sullivan would like to organize a play workshop where participants would act out and help Danny develop a comic/fantasy play he wrote.

 


 

PRESIDENT’S REPORT

 

Report provided by NFLT President John Pariselli.  North Frontenac Little Theatre had a great yeat with three well preforned and profitable productions.  Showed the group the permanent boards for promotion of the North Frontenac Little Theatre displayed at all productions.  John commented on all the hard work and dedication to the Hall in Tichborne and its progress.  Noted how the Mentoring Program is working well and thanks to the creation of the job descriptions.

 

D.        New Business

 

John Pariselli brought forward a request from Barb Matson asking for the NFLT to provide a workshop for their summer camp for ages 6-12 and approx 15-20 participates to improve their interest and acting skills.

 

Claire Graves questioned the membership fees as they currently stand.  She wondered if there was a need to charge to become a member or whether the NFLT could have members sign up at no charge.  Questions were raised about insurance, was stated that as long as our membership list is up to date there will be no insurance issues.  Doug MacIntyre brought an idea of a waiver form be created and signed by all members of a new production and from this membership is updated and insurance issues are covered.  John Pariselli has the current master membership list. 

Motion put forth by Noel Bateman that the current membership list remain however the cost of membership be dismembered and the producer of each production is responsible for new membership updates.  Pam Giroux 2nd the motion.  The motion was unanimously approved.

 

Dawn Hansen noted that she had several bins of props at her house and she would like to bring them to the hall. Dawn has the bins labeled and ready for storage in the basement.  It was brought forward that Dawn could call Paddy O’Connor to open the hall when she is ready to drop the bins off.

 

Marcel Giroux brought to the attention of the committee an article on small theatre in Canada in the Legion Magazine.  He photocopied a few copies of people to read.

 

Karin Reynolds brought to the attention of the committee that a Parc Committee is being created and thought that the North Frontenac Little Theatre would like to be involved.

 

Lynda Boulter brought to the attention of the committee that Dianne Lake and Pat Dowdall are retiring this year and thought that a card of thanks should be sent to thank them for all their participation in the North Frontenac Little Theatre.  John Pariselli mentioned that this was in the works and thought that a gift would be appropriate as well.  

 

ELECTION OF OFFICES

 

Treasurer – Claire Graves Nominated Noel Bateman.  Noel resigned from his position of Member at Large and accepted.  All Approved.

Member at Large – Sandy Robertson nominated that Karin Reynolds remains in the position.  Karin accepted.  All Approved.

Member at Large – Lynda Boulter offered her name for nomination.  All Approved.

Student Representative – to be deteremined by the Executive at a later date.

Meeting was adjourned at 9:00pm by John Pariselli.  The next executive meeting will be at 7:00pm on June 15, 2009 at the Hall in Tichborne.
